This privacy policy tells you how we collect information about you, how we store and process the information, what we might use it for, who we might share the information with, and our practices regarding your personal data in compliance with General Data Protection Regulations (GDPR). Information you give

You may give us information by filling in forms on our site, following links in our emails or by corresponding with us by phone, email or otherwise. This includes information you provide when you register to use our site, subscribe to our services, enter a competition, promotion or survey operated by us. The information you give may include your name, address, email address and phone number, credit card information and sometimes personal description and photographs.

Any credit or debit card details you supply will be stored by the external payment provider and your card issuer for payment processing reasons. We do not store any card payment data.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Your information will be stored on our secure web server and we will keep our own backup copy.

What we use your information for

This will usually be in the form of email updates and newsletters. We will use your information to provide you with any further details or information you request when you contact us. This may involve updates on our activities, bookings for classes or provision of services of which we deem you may have an interest in.

We may process your personal information for carefully considered and specific purposes which are in our interests and enable us to enhance the services we provide, but which we believe also benefit you, our customers. This may be in relation to special offers and discounts on products and services, as well as information about new services of which we feel may be of interest to you.

Who we share your data with

We will never share your personal contact information, but may share anonymised information with selected third parties including:-

  • business partners, suppliers and sub-contractors for the performance of a contract we enter into with you;
  • advertisers and advertising networks that require the data to present relevant adverts to you on our behalf;
  • analytics and search engine providers that assist us in the improvement and optimisation of our site;

We will disclose your information in order to comply with any legal obligation or in order to enforce or apply our website terms and conditions or to protect the rights, property or security of others. This includes exchanging information with other companies and organisations for the purpose of fraud protection.

Event registration/Eventbrite

We use Eventbrite as our online events registration provider. By registering your information with Eventbrite you acknowledge that the information you provide will be transferred to Eventbrite for processing. Eventbrite will only process your Personal Data to help administer that event on behalf of Michael James Fitness.

Eventbrite merely provides the “tools” for Organisers; Eventbrite does not decide what Personal Data to request on registration forms, nor is it responsible for the continued accuracy of any Personal Data provided. For further details please see Eventbrite’s Privacy Policy.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You have the right to ask us not to use your data for marketing purposes. We may periodically send you news and/or marketing emails only if you have given your consent using one of our online forms or, for example, at the time of becoming a registered member or subscriber. If you no longer wish to receive news and/or marketing emails from us you can unsubscribe by clicking on the relevant link included in the footer of every email we send or alternatively please email your request to [email protected] When marketing emails are sent to you, we may place a small graphic in the footer of your email for tracking purposes.

You also have the right to be removed from our system completely. To do this, please email us with your name to [email protected]. This will be actioned within 15 working days and you will receive confirmation when this has been done. 

Where we store your personal data

Information you provide to us is stored on our secure servers. Where we have given you (or where you have chosen) a password that enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password.

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”). It may also be processed by staff operating outside the EEA who work for us or one of our suppliers. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

The transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
